Terms of service

Frosted Wheels (“the Company”) strives to meet the highest standards of service and professionalism. These Terms and Conditions are intended to clarify our service and to protect both the Client and our business.

1. OUR COMPANY AND VAN

Frosted Wheels is a premium mobile ice cream service operated as a specialized, single-vehicle business. We take great pride in our strict code of ethics, cleanliness, and presentation. As a single-van operation, all bookings are serviced by our primary vehicle.

2. THE CLIENT

The “Client” (referred to as “you”) is the party responsible for submitting the booking request, confirming acceptance of service, and making payments. The Client is ultimately responsible for the orderly conduct of guests attending their event.

3. DEPOSIT & SECURING YOUR DATE

  • Amount: A deposit of 50% of the total quoted amount is required to secure your event date.
  • Reservation: Your date remains open to other inquiries until the 50% deposit has been cleared in our account. Submitting a request is an application for availability, not a confirmed booking.

4. FINAL PAYMENTS

  • Due Date: The remaining 50% balance must be paid in full no later than 7 days prior to the actual booked event date.
  • Short-Notice Bookings: Events booked 14 days or less before the event date must be paid in full (100%) immediately.

5. CANCELLATIONS & REFUND SCHEDULE

Should you wish to cancel your booking, the following refund schedule applies to your deposit:

  • More than 28 days before your event: Full deposit (100%) refunded.
  • 7 to 28 days before your event: 75% of your deposit refunded.
  • Less than 7 days before your event: 50% of your deposit refunded.

6. PERISHABLE GOODS DEDUCTION

In the event of a cancellation, the cost of any perishable food items specifically pre-ordered for your event (e.g., custom toppings or speciality treats) will be deducted from the entitled refund amount regardless of the notice period.

7. ELECTRICITY & POWER SUPPLY

Frosted Wheels is fully self-sufficient. Our van is equipped with its own onboard power supply and does not require an external electricity source from the Client. This allows us to operate in parks, remote areas, and private venues without interfering with your local power grid.

8. ACCESS, PARKING & PERMITS

  • Dimensions: Our van requires free, safe, and legal access. Dimensions are 6.7m long x 2.5m wide x 2.9m high. (Note: The high roof requires clear vertical clearance from tree branches, overhanging wires, and car park entrances.
  • Permits: The Client must obtain any relevant Council permits for events in public areas.
  • Property Damage: Frosted Wheels is not liable for damage caused to private property (driveways, lawns, gates) when directed to enter the site by the Client.

9. MECHANICAL FAILURE & EMERGENCY

Should the van be unable to attend an event due to mechanical failure or emergency, the Client shall be entitled to a 100% refund of all payments made. Our liability is strictly limited to the Invoiced Amount; no secondary costs or damages shall be accepted.

10. PUBLIC LIABILITY & SAFETY

  • Insurance: We maintain $20 Million Public Liability Insurance.
  • Entry: Guests may only enter the van for photos at the driver's invitation. We are not liable for any injury sustained while entering or exiting the vehicle.
  • Allergies: We handle dairy, gluten, and nuts. The Client is responsible for checking ingredient safety with guests.

11. SOCIAL MEDIA & PRIVACY

We may take photos of the van in action for use on our website and social media. If you do not wish for photos of your event to be published, please advise us in writing at the time of booking.
